Airspace Software Limited (“Airspace” or "we" or “us”) are committed to protecting and respecting your privacy.  This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.   By visiting www.airspace.co.uk or www.allocate.co.uk  you are accepting and consenting to the practices described in this policy.

What information we collect

You may give us information about you by filling in forms on our website or by corresponding with us by phone, e-mail or otherwise.  The information you give us may include your name, address, e-mail address and phone number.  The same information is collected if you purchase any of the services we provide.

During any visit you make to our web site, we may automatically collect technical information by way of statistics gathering software about the number of visitors coming to the site. The software records the IP address of the visitor only, no identifying information is collected by this software.  We use this information to improve the web site and its performance.

We use ‘cookies’, these are pieces of information that a web site can transfer to an individual’s computer in order to allow that web site to store information about user preferences. Cookies are used to collect session ID’s.  It is possible to adjust your Internet browser to refuse cookies, but you may find that this reduces the functionality of this web site.

How we use the information we collect

Personal information is used to deliver any service we provide to you as a customer; technical support, billing, sales support, product upgrades, changes to the service and other service related information.

If you have a contract with us or make enquiries about the services we offer, we will use your personal information to provide you with promotional material. You may “opt out” of future promotional emails from Airspace by following the specific removal instructions in any email.  If you receive an email and it does not have an automated opt out, if you wish to opt out please reply to the email requesting your personal details are removed from our systems.

Disclosure of your information

We treat all personal information we collect as strictly confidential. Airspace does not rent or lease its customer lists to third parties.  We will not disclose to any third party, other than those contracted by us to assist with the supply of our services, any personal information that you may have provided to us unless we have your express consent to do so, other than if we if we sell our business or part of it or are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms and conditions of supply and other agreements; or to protect the rights, property, or safety of Airspace Software Limited, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

Storage of personal data

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers.  Such staff maybe engaged in, among other things, the fulfilment of your contract, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Constant changes to the Internet and technology mean that we cannot guarantee that data transmission will be 100% secure, or safe from attack by unauthorised intruders.

You are responsible for keeping any password confidential. We ask you not to share a password with anyone.

We also have personal information stored on our servers due to the fact that we host the web booking engines for multiple other organisations.  Any information that is submitted to or collected by these organisations will be physically located on a server under a contract with Airspace Software Ltd. This information, whether voluntarily provided or not, will not be used or released by us in any manner, and it will be kept strictly confidential, unless we are required to release the information by law.

If you collect personal information as part of our service to you, whether or not you keep that information on servers provided by Airspace (including email), you alone are responsible for compliance with the Privacy Laws of your country in respect of that information.  We take no responsibility for your dealings with personal information you collect.

Access to information

GDPR gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act.  Any access request may be subject to a fee to meet our costs in providing you with details of the information we hold about you.

Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail.
