Displaying bookings and booking reports

The display of bookings and booking reports has been improved.

At the top of the screen there is the option to select whether to view bookings ‘Made between’, ‘Arriving Between’, or ‘On-site between’.  The ‘Add Filter’ toggles between including or excluding cancelled bookings in the display.

Below the list of bookings in the left pane is a summary of the totals for the displayed bookings. It shows the number of bookings, number of adults and children, number of rooms or pitches and the total value of the bookings.

Importantly, the list can be filtered; clicking on any of the blue funnel icons will filter the list.  You can filter to display all bookings in a certain room type or with a certain supplement, or both.

If you run courses that are sold using supplements, you can filter for bookings with that supplement.  The Export functions are to a CSV or PDF file, course instructors can receive these reports so they know the number of people attending the course.

Likewise, if a particular room or pitch has been booked that needs preparation before a guests’ arrival, the same type of report can be used.


Viewing supplements booked

The bookings section within Allocate’s administration has been improved to display supplements (extras) as separate records.

The extras for bookings arriving between two dates can be displayed; they can be grouped by the extra or by the date.  Selecting a row shows the extras for that row in the right hand pane, the booking itself can be displayed by clicking on the booking.

Bookings can be filtered; a guest name or booking reference can be entered.  The image shows some funnel icons in blue, clicking on any of these will also filter the list of bookings.

Once you are displaying a list, with or without any searches or filters in place, you can export the list.  The exported file shows a row for each supplement booked, if a booking has several supplements included, each is shown separately and the booking reference appears multiple times.

The display and the report is useful to get a breakdown of the success of each extra over a period of time. The report values can also be useful for a property’s accounts to assign different revenues to relevant accounting codes.
